AI interview scheduling without the calendar
The first round does not need a shared time. Invite up to 50 candidates in one batch, each with their own secure link and a deadline, and read scored interviews as they come back. No slots, no rescheduling, no interviewer rota.
What scheduling actually costs you
Screening rounds rarely stall on judgment. They stall on logistics.
Coordinating times across candidates, interviewers, and time zones
There is no time to coordinate. You set a deadline, the candidate takes the interview whenever they can before it, and no interviewer has to be free at the same moment.
A shortlist of forty takes weeks to screen
Paste the whole list. Up to 50 candidates go out in one batch with a single setup, and the dashboard tracks completion without anyone chasing a calendar.
Candidates drop out between the invitation and the call
The interview link works immediately, so a candidate who is interested tonight can be interviewed tonight instead of waiting five days for a slot.
A bad connection costs you a good candidate
Set a retake allowance, from none up to five attempts, so a dropped stream is a nuisance rather than a rejection.
Set it up once per role
Everything a batch needs, decided in one screen and reused as a template for the next opening on the same role.
Candidate list
Paste emails separated by commas or new lines, up to 50 per batch. Duplicates are removed before anything is sent.
Deadline and timing
Set the deadline for the batch and how long a candidate gets per question. Between 2 and 15 questions per interview.
Retake policy
Allow no retakes, or up to five, depending on how much room you want to give for connection problems.
Difficulty and questions
Choose easy, medium, or hard, and either generate questions from the job description or supply your own.
Your brand on the interview
The invitation names your company and the role, and the interview the candidate opens carries your organization logo and brand color.
Secure per-candidate links
Each invitation carries a signed link tied to that one candidate, valid only until the interview deadline.
Self-paced or live
The same setup runs both ways. The difference is how strictly the session is policed.
Self-paced interviews
The candidate starts when they are ready, any time before the deadline. This is what most teams use for high-volume screening, and it is the mode that makes hiring across time zones straightforward. Proctoring still records everything, but the session is not ended automatically, so the reviewer decides what a flag is worth.
Live interviews
The interview runs start to finish in one sitting with the stricter proctoring rules applied: a second major violation ends the session. Used for later rounds and for roles where the integrity of the sitting matters as much as the answers.
Chasing is not a recruiter's job
Once a batch is out, the work left is reading results. The dashboard keeps the status of every candidate and the reminders go out on their own.
- The recruiter dashboard lists every candidate in the batch with their status: invited, in progress, completed, or expired.
- Candidates receive an automatic reminder as the deadline approaches, so recruiters are not the ones chasing.
- Completed interviews arrive scored, with a report ready to open rather than a recording queued for review.
- Reports can be emailed to a hiring manager or shared through a read-only link that expires after 30 days.
- Interviews run in 23 languages with six interviewer voices, so a regional team can screen in the language they hire in.
Interview scheduling questions
How does AI interview scheduling work?+
You set up the interview once: the role, the questions, the timing, the language, and the deadline. Then you add the candidates, either one at a time or as a pasted list of up to 50 per batch. Every candidate receives an invitation email with their own secure link and takes the interview whenever suits them before the deadline. Nobody has to agree on a time.
How many candidates can I invite at once?+
Up to 50 candidate emails per batch. Duplicate addresses are removed automatically, and each candidate gets an individually signed link rather than a shared one, so an invitation cannot be forwarded and used by somebody else.
Do candidates need to book a time slot?+
No. That is the point of an AI interview. There is no slot to book and no interviewer waiting. The candidate opens their link and starts the interview at any point before the deadline you set for the batch.
What happens if a candidate has a technical problem?+
You decide the retake policy when you set up the interview, from no retakes up to five attempts. A candidate whose connection drops can restart within that allowance instead of being written off for something that was not their fault.
Are candidates reminded about the deadline?+
Yes. Reminder emails go out automatically as the deadline approaches, so recruiters are not spending their week chasing people who simply forgot.
Can candidates take the interview in another language?+
Interviews run in 23 languages, including Cree, with six interviewer voices. The language is set per interview, so a single hiring team can screen in whichever language a role calls for.
Does scheduling connect to our ATS?+
CareerGraph integrates with Greenhouse, Lever, Workday, BambooHR, and iCIMS, with a custom endpoint option for anything else, so interview invitations and completed reports move with the rest of your pipeline.
